This article is intended for all users with permissions to send documents for electronic signing. Users that have limited access to specific actions, should reach out to their company admin.
The forms that are available to be electronically signed will have an e-signature identifier on the Selected Forms page in program.
How to Send Documents for Electronic Signatures
Electronic signature invitations can be sent after form creation. First you will generate the form, edit and send out for E-signatures.
1. Go to Forms & Docs >> Select Print for a Single Unit
2. Select the appropriate form(s) >> Select - Edit Forms
3. Fill out/edit the form >> Select - Save Data >> Select- Next
4. Review the final form >> select - Sign Electronically
5. Confirm signers: resident signer(s) for the unit will be available in the drop-down menu under resident signer. Owner / Agent can be assigned using the dropdown menu under signer. Based on your account settings, and who created the form- the owner/agent would automatically generate as well.
Note: Users with user permissions that allow them to modify the Owner Agent selected signer may still use the drop-down menu to do so. If the name of the desired signer's name is not found in the drop-down menu, the signer may be added manually by going to Add a Signer, entering their first and last name, and selecting Add.
6. Once you have confirmed the signer(s), select Confirm Signers
7. Confirm the signers name, email and the date of birth. A custom message can be added to the email as well, but it is not required. After users review and edit custom message to recipient users should select Send Email.
Note: The date of birth is required for each signer, and it will be used to verify their identity when they access the documents to e-sign.
8. The system will display confirmation that links were sent, and what documents were sent out.
Note: The signing link will expire in 14 days. If 14 days have passed since the link has been sent out, the resident will need another link sent in order to access the document.
